Student Email FAQ


Q: Do I need an HDS computing account?

Yes. All students receive an HDS computing account for free. In addition to giving you access to email services, the HDS computing account allows students access to the student computer lab, web-based course materials, class-oriented discussion lists, and other online resources. This email account is used for official HDS communication. Frequently, school administrators will email important announcements to all HDS students, including but not limited to information about guest speakers, special events, information concerning certain courses of study, and critical information regarding IT issues such as server downtime and virus warnings.

Q: How do I sign up for my HDS computing account?

Accounts are given out to new students at registration. If you miss registration, stop by our Help Desk in the basement of Andover Hall, and we'll give you your account information, including your temporary password, and information about connecting to your account at school and from home.

We're sorry, but accounts are not available to new students before registration, unless you are a new student who is also enrolled in the Summer Language Program. If you are going to be a student in the fall, and are enrolling in the SLP, please contact IT & Media Services for more information on obtaining your account.

Q: How do I change my HDS computing account password?

Password changes are currently handled via the HDS Webmail facility under the Options Menu. This will take you to a page where you can both change your password and/or forward your mail to another address. It's a good idea to change your password frequently for security purposes. Once you change your password, your account will be locked for 20 minutes while the change takes effect.

Q: What is my Harvard PIN account for?

The Harvard Personal Identification Number (PIN), which you can request from the Harvard University PIN System, can be used for access to certain resources such as online grade reporting, course websites, the Career Services job database, and library resources.

Q: Can I share my HDS computing account with anyone?

No. It is a violation of the Computer Use Policy to share your HDS account with anyone: sibling, parent, partner, spouse, roommate, friend, neighbor, or anyone else, even another HDS student. Students caught sharing their account with others risk account termination. Security and liability concerns make this an important issue.

Q: Can I use my HDS computing account to do other things that aren't academic in nature?

No. Your HDS computing account is for academic purposes only. Use of any HDS computing resource, including the computing lab, is only permitted for academic purposes. If you need an account for other purposes, you should look into establishing an account with an independent provider, like Hotmail or an ISP. It is absolutely forbidden to conduct any commercial business using your HDS computing account or resource, unless you are expressly permitted to by IT&Media Services, or if you are employed by HDS and are carrying out business in the fulfillment of your position.

Q: What program should I use to check my email?

We recommend that you use a fully-featured POP email client to check your HDS mail. In particular, we recommend Microsoft's Outlook Express—it is free, and our documentation is geared toward this application. Netscape's Messenger client is also reliable. We no longer recommend Eudora for email use off campus, as it is not fully compatible with our network configuration. Additionally, we do not recommend that students rely solely on Webmail to obtain email. Click here for more information.

Q: What's an ISP? Do I need one? Or, How do I check email from home?

ISP stands for "Internet Service Provider," and you need one if you live off campus (not in the CSWR residence or Jewett House) and wish to check your email or use Internet resources from home. The documentation which is given out at registration lists a few local ISPs, and this document online also provides a list of ISPs.

Q: I haven't received any email messages in quite some time. What should I do?

The answer to this question depends on what you are using to check your email.

  • If you are using a regular email client like Outlook Express:

Whenever you experience trouble getting to your email, you should try to get into your email using Outlook in the HDS ITS Computer Lab. If you continue to have problems, please ask a Lab Consultant for assistance, or contact IT & Media Services.

  • If you are using Webmail:

The Webmail client isn't intended to be used as a sole-access service for email. Because it is a web application, it is susceptible to the same problems that make displaying pre-processed text difficult on the web. Some messages are simply too large, or contain text-strings that Webmail cannot display. Additionally, Webmail is prone to encountering problems when users do not log out properly. Please take care to use the "Logout" button any time you exit the client. Finally, please attempt to keep the number of messages in your Inbox as low as possible. Your quota is 20 MB.

Q: Can I forward my HDS email to another account?

A: Yes. From the front page of Webmail you will find a link where you can change your account information. This will take you to a page where you can both change your password and forward your mail to another address.

A: You can get additional information on Webmail by looking at 'Help' within Webmail itself.
